Terms of Service
The terms that govern your use of ForMeets — your content, AI output, recording consent, and the limits of our liability.
In short
These terms govern your use of ForMeets. Your content stays yours. AI output is a draft you must check. You must obtain consent before recording people. We host your data in Saudi Arabia and never use it to train AI. Our liability is limited.
1. Agreement
These Terms are a contract between NGN and the organisation or person that uses ForMeets (the “Customer”). By using the Service, you accept them and confirm you can bind your organisation. For Government and Hardware-Bundle deals, a signed contract may apply and will prevail if it conflicts with these Terms.
2. Eligibility
You must be at least 18 years old (or the age of majority where you live) and authorised by your organisation to use the Service.
3. The Service
NGN provides ForMeets across web, mobile, room screens, and door displays, as either a cloud (SaaS) or on-premises deployment. We may improve or change features but will not materially cut core paid functionality without reasonable notice.
4. Accounts
Keep your registration details accurate and your credentials secure. You are responsible for activity under your account. Tell us at support@formeets.com about any unauthorised access. You configure roles, policies, and retention, and are responsible for those settings.
5. Plans and payment
Plans and fees are set out in your order. Self-serve billing applies to Professional and Enterprise; Government, Hardware-Bundle, and on-premises are billed by contract. Fees exclude VAT (15%), which you pay. Unless stated otherwise, fees are non-refundable and subscriptions auto-renew unless cancelled before the renewal date. 6. Your content and consent
You own your Customer Data. You grant NGN a limited licence to host and process it only to provide, secure, and support the Service. You are responsible for using ForMeets lawfully — including, before recording, telling all participants that the meeting is recorded, transcribed, and processed by AI, and getting their consent (including from external guests). Our processing of personal data is governed by the [Privacy Policy] and [DPA].
7. AI features
AI output (minutes, summaries, action items) is assistive and a draft until a person approves it. It may be inaccurate, so review it before you rely on it. It is not professional advice. NGN does not use your content to train, retrain, or fine-tune AI models, and requires its AI providers to do the same.
8. Acceptable use
You must follow our [Acceptable Use Policy]. In short: use ForMeets lawfully; don’t record people without consent; don’t breach security or access controls; don’t reverse-engineer or resell the Service.
9. Data hosting
We host Customer Data in the Kingdom of Saudi Arabia (Huawei Cloud, Riyadh region) and do not transfer personal data abroad. If your specific requirements need a service that must run outside the Kingdom, we will do so only on your instruction and under the PDPL.
10. Third parties
ForMeets can connect to third-party services (Google, Microsoft, Zoom, Jira) and Huawei hardware. Those products have their own terms; NGN is not responsible for them.
11. IP and confidentiality
NGN owns the Service, software, and brands (“NGN Meeting Intelligence,” “ForMeets”). You get a limited right to use it. Each party keeps the other’s confidential information confidential. We may use your feedback freely.
12. Warranties and disclaimer
NGN will provide the Service with reasonable skill and care. Otherwise the Service and AI output are provided “as is,” without other warranties, to the extent the law allows.
13. Liability
To the maximum extent permitted by law, neither party is liable for indirect or consequential loss, lost profits, or lost data. NGN’s total liability is limited to the greater of SAR [1,000] or the fees you paid in the 6 months before the claim. This limit does not apply to liability that the law does not allow to be limited. 14. Indemnities
NGN will defend you against third-party claims that the Service infringes their IP rights. You will defend NGN against claims arising from your data, your unlawful use, or your failure to obtain recording consent.
15. Term and termination
These Terms run for your subscription. Either party may terminate for material breach not fixed within 30 days. We may suspend access for non-payment, serious breach, or to protect the Service or comply with law. On termination, you can export your data for a limited period, then we delete it as described in the [Privacy Policy] and [DPA].
16. Service levels
Target SaaS uptime is 99.5% per month. Support and any service credits are described in your order or a separate SLA. On-premises availability depends on your environment.
17. Changes, law, and disputes
We may update these Terms with reasonable notice for material changes. These Terms are governed by the laws of the Kingdom of Saudi Arabia. Disputes will be settled amicably, and failing that by [the competent courts of Riyadh] or [SCCA arbitration, Riyadh]. [Choose one.] If issued in Arabic and English, [state which version prevails].
