About the platform
ForMeets runs on four surfaces: a web application, iOS and Android apps, an Android door-display kiosk, and large interactive screens. The web platform is the administration layer for all of them.
ForMeets is a sovereign meeting intelligence platform for government bodies and regulated enterprises in Saudi Arabia and the GCC. It runs the full meeting lifecycle: scheduling, room reservation with approval, live meetings, AI-drafted minutes that a human approves before publication, and a permanent, auditable meeting record.
AI & Governance
No. Nothing the AI writes is published until the organiser approves it. Without approval, nothing is published and no follow-up email is sent.
Yes. The review page allows the organiser to approve or reject each minutes line and each action item individually, edit any text, and add manual items. Approval status, approver name and timestamp are recorded against the record.
There is no record button. An agent captures meeting video/audio automatically, and the organiser can turn documentation off before, during or after the meeting. Members always see an on-or-off indicator in the meeting, and guests are shown a consent notice on joining.
Yes. ForMeets transcribes Arabic and English on every plan, with live transcript and speaker diarisation. Transcripts carry speaker attribution and timestamps, and support full-text search within a meeting.
Yes. Organisation settings hold a global switch for all AI features, plus separate toggles for transcription, AI minutes, AI summary and action item extraction.
Yes. On every plan, ForMeets can create and sync meetings on Google Meet, Microsoft Teams and Zoom, and send its AI notetaker into those meetings. The resulting minutes follow the same approval flow as meetings held natively in ForMeets.
Meetings, participants and guests
Participant limits are 50 on Basic, 100 on Pro, and 200 on Enterprise by default. Maximum meeting length is 4 hours on Basic, 12 hours on Pro, and unlimited on Enterprise, with a countdown shown in the final 10 minutes where a limit applies.
No. Guests are unlimited and free on every plan, and consume no seat. A guest joins with a meeting link and passcode, waits in a lobby until the organiser admits them.
Reservation requests for rooms that require approval go to an approval queue scoped to the approver's rooms, and the first approver to act resolves the request for all. No request auto-approves, escalates or times out, and every decision is written to the audit log.
No. Approvers see only the purpose the organiser wrote and an anonymised participant count. Meeting titles and participant names are never exposed in the reservation approval workflow, so room administration cannot become a window into departmental activity.
Arabic and bilingual use
Yes. ForMeets supports Arabic and English natively across the interface, with full right-to-left layout, and Arabic date, time and number formatting. Language is a per-user preference, so Arabic and English speakers work in the same organisation without either being a second-class user.
Yes. AI minutes, summaries and action items follow the meeting's transcription language, and the default transcription language is set at organisation level. Every limit message, notification and billing screen exists in both Arabic and English.
Seats and allowances
The organisation buys a fixed number of seats and is billed for that number whether or not they are filled. Invitations are unlimited and reserve no seat; a seat is consumed only when a member accepts and becomes active. Removing a member frees the seat to be refilled at no charge.
Basic includes 1,200 minutes per subscriber per month and Pro includes 2,400, pooled across the organisation and reset each billing month. At 80% usage administrators are warned; at 100% new AI work pauses and nothing already produced is lost. Additional minutes are available as a 1,000-minute pack at SAR 94.
Yes. On annual plans, reducing seats or rooms returns money for the whole months no longer used after the current month, issued as a ZATCA credit note to the original card. Billing is whole-month with no day-level proration. Monthly plans are not refunded; the lower charge applies from the next month.
Payments and invoicing
ForMeets accepts mada, Visa, Mastercard, American Express, Apple Pay, Samsung Pay and STC Pay through Moyasar, with 3-D Secure. Card data never touches ForMeets systems. Enterprise customers pay by purchase order or bank transfer.
A failed payment opens a 7-day grace period during which access continues. If it is not resolved, the organisation moves to Blocked: access is suspended for all members, but no data is deleted. The Owner can still pay from a billing-only screen, and paying restores access immediately.
Yes. Official invoices, receipts and credit notes are issued by NGN ERP as ZATCA-ready PDFs carrying a QR code, VAT number and UUID hash. ForMeets sends payment data to the ERP only after a successful charge and never handles ZATCA submission directly.
